Our client, a reputable and dynamic mid-sized Estate Agency Company, is seeking a skilled and detail-oriented Office Managerto join their team.
The ideal candidate will have experience working for an estate agency and ensuring smooth daily operations and effective employee management.
ESSENTIAL:Minimum 2 years office management experience.
ESSENTIAL: Computer and internet savvy
ESSENTIAL: Proficient in Microsoft Office and Google Suite (incl. Google Drive)
ESSENTIAL: Candidate will need to register with IEASA and do regular courses (which will be provided for by the company) in relation to FICA / CPD / RMCP
ESSENTIAL: Knowledge of VAT, PAYE, loading of month-end overheads and maintenance of cash flow statements.
ADVANTAGEOUS:Relevant qualification in Office Administration.
ADVANTAGEOUS: Experience as an Office Manager in an estate agency environment.
ADVANTAGEOUS:Weconnect Management tool (training to be provided if required)
Key Duties & Responsibilities:
- Loading of adverts
- Administrative work on sales.
- Collection of debit orders (loading debit orders and checking for late payments).
- Maintenance of cash flow statement (uploading bank statements)
- Accounting – Invoicing for commission and others. Invoicing is done once the broker has received offer to lease, lease, FICA (tenant/buyer), deposit and 1st months rental.
- VAT calculating our VAT inputs and keeping records of them from supplier invoices and liaising with accountant
- PAYE for principal and brokers when payment is required
- Loading of month-end overheads.
- Invoices need to be saved to the OneDrive and be accessible to the accountant
- Issuing late notices
- Records of complaints
- Familiarisation with the development including, plans, application form, sale agreement, site visit
- Searching – Brokers send through Property24 links, addresses, erf numbers, sectional tile numbers to the company’s WhatsApp group
- Identify the property on CMA and get the number from CMA if owned by a person, and from Windeed / Searchworks if owned by a company.
- Check that the company has not been searched before on Windeed, and on the company’s person database on Google Drive.
- Load the person onto the database (Google Drive) and load a Hubspot for the broker.
- CMA and Windeed training to be provided.
- Loading adverts -requires familiarisation with prop data training to be provided if required.
- Loading an advert from a brokers copy and pictures (on the OneDrive).
- Familiarisation with application forms and residential rental agreements.
- Sort out printers and complimentary refreshments.
- Collection of FICA which also requires updating the companies RMCP.
- Candidate will need to register with IEASA and do regular courses (which will be provided for by the company) in relation to FICA / CPD / RMCP
- Renewal of FFCS
- Car License renews for the principal.
